November 2024 Board Meeting

*Nomination Meeting

-Started at 7pm

-Present: Mary Saunders, Ryan Schroeder, Dan Vitkus, Laura Parker, Daina Ball, Rick Read; with Karen Milne phoning in.

-Mary read financials, noting that some money has been since moved from checking into savings and that will be reflected on next month’s financial records. Financials were voted on and approved.

-Daina read last month’s meeting minutes; they were voted on and approved.

-Floor opened for board position nominations: Karen nominated Mary to continue to serve as treasurer. Mary accepted and is willing to serve until a replacement can be found and trained.

-Rick nominates Dan Vitkus to serve as Vice President; Dan accepted the nomination.

-Rick has agreed to continue to serve the board in an audio/visual capacity, as long as needed.

-Karen nominates Ryan Schroeder to fill the position of One-Year director and he accepts, as long as he is available, as he is looking at moving out of state in the future.

-Two-Year director is still needed. Rick is willing to step up and fill the position if necessary but would prefer if we attempt to find a suitable candidate first.

-A/C unit was cleaned and was very gross. Karen consulted an acquaintance in the A/C business to look at the quotes we had received and was assured that they were very much in line with current prices.

-Reliant sent us an estimate to add a surge protector to each of the mini-split units for ~$850 per unit, but we all agree it seems like an unnecessary add-on feature, especially considering the age of the units.

-Mary had copies made for the assessment statements to go out for the new year. She will need help stuffing envelopes.

-Children’s Christmas party is planned for December, probably Saturday the 21st. Ages and genders of children attending will be collected, so we can provide a small gift. And food trays from Publix, along with cupcakes will also be provided. We have volunteers to come decorate the rec hall ahead of time.

-Only 19 residents are two years or more behind on assessments. Mary will send out 30-day notices and if they don’t respond, their cases will be turned over to the lawyer.

-Since all nominees are unopposed, there will be no election during the December meeting.

-Ryan mentioned having a special account of money set aside to cover damages to rec hall or pool, due to catastrophic events, but we had been advised against doing that because of the low amount of funds we collect with assessments and the fact that if we had a special account, we would be limited to using those funds for that specific purpose only.

-Meeting adjourned 7:28pm
